Transuniverse Romania has grown into the administrative heart of our company

Transuniverse Ro S.R.L., the Romanian subsidiary of Transuniverse Forwarding, has been providing various administrative services to the parent company since 2011. Today, the Constanta office has 34 employees. Deputy Manager Eugen Nate introduces us to the team.

Transuniverse Ro was originally set up to offer administrative support to the headquarters in Wondelgem, such as monitoring and processing incoming and outgoing invoices. The aim was to significantly reduce the workload of the staff in Belgium, allowing them to focus more on operational and commercial activities. The company has been led from the start by Lavinia Racovita, who has been supported by Eugen since 2021. He oversees the different departments in Constanta.

How important is Transuniverse Romania today?
As Transuniverse expanded in Belgium and other countries, the need for flawless administration grew as well to keep the entire chain running smoothly. The executive committee in Wondelgem recognised the potential of the Romanian team to support headquarters even more. Over the years, we were assigned more and more tasks, each clearly defined to ensure efficient operations.

How are you organised?
Today, Transuniverse Ro consists of seven departments, each with its own Team Lead. The two largest are the Order department with six people and the Quotations department with five people currently. The other departments have around four people each.

Which seven departments are these?
I’ll list them in random order:

  • Orders
  • Quotation
  • Transport Planning
  • Control Tower
  • Administration
  • Invoicing and Cost Control
  • Customs Support

These departments oversee the execution and administration of transports from start to finish. Quotation marks the start of every transport, while Invoicing handles billing and Administration follows up on  Proof of Collection (PoCs), Proof of Deliveries (PoDs) and CMR processing.

They also provide additional services to Transuniverse’s customers.

Could you give an example of such additional services?
The Control Tower, for instance, oversees the entire supply chain of several major customers with complex goods flows. We monitor their transports from beginning to end and ensure their proper execution.

Although much of the monitoring is largely automated, the human element should not be underestimated. Our team, for example, is trained to proactively inform customers when a shipment is delayed. The Control Tower sometimes intervenes as well at the start of the chain: our staff detects missing, incomplete or contradictory data that could disrupt the smooth handling of a transport.

To what extent do IT systems play a role in your activities?
They play a very significant role, as they ensure that the commercial and operational tasks handled in Wondelgem align seamlessly with the administrative tasks we perform.

Recently, the seven Romanian department Team Leads visited Wondelgem for a working session. Transuniverse Forwarding is currently developing a completely new IT system, designed to streamline every aspect of the group’s operations even further. We were able to provide input and exchange ideas to help ensure the system will run flawlessly and efficiently. The new IT system is expected to be rolled out in spring 2026.
